Front Office Executive – 1 (Female)

 Job Description

Designation: Team Leader – Office Assistant

Department: Operations – Class coordination

Roles and Responsibilities:

1. Team Leadership & Supervision

  • Lead, mentor, and supervise a team of office assistants or coordinators.
  • Delegate tasks and monitor performance to ensure productivity and quality standards.
  • Conduct regular team meetings to discuss goals, updates, and improvements.

2. Administrative Support

  • Perform high-level administrative tasks such as calendar management, correspondence handling, document maintenance, and filing.
  • Support executives with scheduling, travel arrangements, and coordination.
  • Ensure that office supplies, systems, and equipment are well-maintained.

3. Workflow & Process Management

  • Organize and prioritize workload for the team.
  • Identify inefficiencies and recommend process improvements.
  • Ensure that procedures are align with company policies and regulations.

4. Communication & Coordination

  • Act as the primary point of contact for internal and external administrative communication.
  • Liaise between departments to facilitate smooth communication and task follow-ups.
  • Manage conflict or issues within the team and escalate when necessary.

5. Reporting & Documentation

  • Maintain accurate records, reports, and documentation related to operations.
  • Prepare status reports for management on team performance.

Skills & Qualifications:

  • Strong organizational and time-management skills. Ability to manage multiple priorities and lead a team effectively.
  • Excellent communication (written and verbal).
  • Proficiency in MS Office Suite (Word, Excel, PowerPoint)
